Last updated: April 2026  ·  Key Ledgers Limited

Key Ledgers Limited (“we”, “us”, “our”) is committed to protecting your personal data. This policy explains what information we collect, why we collect it, how we use it, and your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Who We Are

Key Ledgers Limited is a forensic accounting and expert witness practice based in England. We are the data controller for personal information collected through this website and in the course of providing professional services.

Contact: info@keyledgers.com  ·  020 8907 9218

2. What Personal Data We Collect

We collect personal data in the following circumstances:

  • Enquiries and contact forms — name, email address, telephone number, and the content of your message.
  • Newsletter subscriptions — email address and the date of subscription.
  • Professional instructions — when you instruct us, we collect the information necessary to carry out the engagement, which may include financial records, identity documents and details relating to legal proceedings.
  • Website usage data — IP address, browser type, pages visited, and session duration, collected via server logs and analytics tools.

3. How We Use Your Personal Data

We use your personal data for the following purposes:

  • Responding to enquiries and providing the professional services you have requested.
  • Sending practice updates and newsletters where you have consented to receive them.
  • Complying with our legal and regulatory obligations, including anti-money laundering requirements.
  • Improving this website and our services.
  • Maintaining records of professional engagements as required by our professional body (ACCA).

4. Legal Basis for Processing

We rely on the following lawful bases under UK GDPR:

  • Contract — where processing is necessary to provide the services you have instructed us to perform.
  • Legitimate interests — where processing is necessary for our legitimate business interests, such as responding to enquiries and improving our services, and these interests are not overridden by your rights.
  • Consent — for newsletter subscriptions and marketing communications. You may withdraw consent at any time.
  • Legal obligation — where processing is required to comply with applicable law.

5. How Long We Keep Your Data

Enquiry and contact form data is retained for 24 months from the date of submission, unless a professional engagement follows, in which case engagement records are retained for a minimum of six years from the conclusion of the matter, as required by ACCA rules and professional indemnity insurance requirements.

Newsletter subscription data is retained until you unsubscribe. We process unsubscribe requests immediately.

6. Who We Share Your Data With

We do not sell your personal data. We may share data with:

  • Professional advisers such as solicitors, counsel or co-instructed experts, where required to carry out our engagement and with your knowledge.
  • Courts and regulatory bodies, where legally required.
  • Third-party service providers who process data on our behalf (email hosting, website hosting, analytics), each subject to data processing agreements and UK GDPR compliance obligations.

7. Your Rights

Under UK GDPR, you have the following rights:

  • The right to access your personal data.
  • The right to rectification of inaccurate data.
  • The right to erasure (“right to be forgotten”), subject to our legal and professional obligations.
  • The right to restrict processing.
  • The right to data portability.
  • The right to object to processing based on legitimate interests.
  • The right to withdraw consent at any time, without affecting the lawfulness of processing before withdrawal.

To exercise any of these rights, please contact us at info@keyledgers.com. We will respond within one calendar month.

You also have the right to lodge a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk if you believe your data has been processed unlawfully.

8. Cookies

This website uses only essential session cookies necessary for the functioning of contact forms and security features. We do not use tracking cookies, advertising cookies or third-party analytics cookies that require your prior consent.

9. Changes to This Policy

We may update this privacy policy from time to time. The date at the top of this page reflects the most recent revision. Continued use of our website after a policy update constitutes acceptance of the revised policy.
